WhatsApp for your clinic's appointments
Patients prefer a WhatsApp message to a phone call for booking or checking whether a test is ready. trtWhats organises booking, reminders and results notifications from your clinic's own business number.
What your customer receives
The automation flow for this sector
- 1
Appointment request
A patient messages the clinic; an automated flow asks the service, practitioner and preferred time, then offers open slots.
- 2
Appointment confirmed
The patient gets a utility template with the date, time, practitioner name and a link to change or cancel.
- 3
Reminder before the visit
A reminder the day before or a few hours ahead cuts no-shows and frees the slot for another patient.
- 4
Results ready
A neutral utility notification that a result is ready to collect at the clinic, with no medical detail in the message.
- 5
Post-visit follow-up
A short message to confirm a review appointment or restate post-exam instructions, as directed by the practitioner.
What it fixes
No-show appointments
A missed appointment is lost practitioner time. An automatic reminder with a cancel link frees the slot early and reduces absenteeism.
A reception phone that is always busy
Booking requests on WhatsApp are handled by an automated flow or shared inbox, so reception can focus on the patients in front of them.
Repeat calls to check on results
The 'results ready' notification goes out automatically, so patients stop calling and staff stop repeating the same answer.
Sensitive data on a personal phone
trtWhats processes patient data on EU servers under law 09-08, with a DPA available, instead of on an employee's handset.
For a clinic or diagnostic lab, most patients prefer a WhatsApp message to a phone call, whether to book an appointment or to find out if a result is ready. But when those requests scatter across a busy reception phone or a personal number, appointments get lost and the same call repeats dozens of times. trtWhats organises this from the clinic's business number on Meta's official Cloud API: an automated flow gathers the request (service, practitioner, preferred time), the patient then receives a utility-template confirmation, followed by a reminder before the visit that cuts no-shows and frees slots for other patients.
Appointment confirmation, reminders and results-ready notifications are all utility templates in Meta's system, because they inform about a transaction in progress rather than promote an offer; they cost less than marketing and stay free inside the open 24-hour window until 30 September 2026, before being billed at the market's utility rate from 1 October 2026. Meta requires prior opt-in naming your clinic and WhatsApp before any template. Because this is healthcare, the results message is written to stay neutral: 'your result is ready to collect', with no detail or diagnosis in the message itself. trtWhats is an organisational tool for managing appointments and communication; it provides no medical advice and does not replace the practitioner's decision.
Patient data privacy is central. trtWhats processes data on our own servers inside the European Union, in line with law 09-08 on the protection of individuals with regard to the processing of personal data (CNDP) in Morocco, with a data processing agreement (DPA) available. That is far safer than running patient appointments on an employee's phone that could walk away with its chats. Patient replies land in a shared inbox with tags, assignment and internal notes, and the AI chatbot answers administrative questions — opening hours, documents to bring, how to get there — from your knowledge base, then hands off to a human agent whenever a topic goes beyond scheduling. Platform-side conversations are unlimited on every plan, and you pay Meta's per-message fee directly to Meta, with no markup from trtWhats.
Getting started is quick: once your documents are ready, the number is usually live in 24 to 72 hours, and Meta's business verification takes one to five working days. A single practice fits the Starter or Growth plan, while a clinic group can run multiple numbers on Pro and above, each with its own reception team and seats. Coexistence mode lets front desk keep the WhatsApp Business app on the same number, and a QR-linked number suits a small independent practice not yet registered. The AI answers scheduling and administrative questions in Darija, Arabic, French or English by the patient's language, and hands anything clinical to your staff. All of this processing stays under law 09-08, on servers inside the European Union, with a DPA available.
